FAQ: how do I set up a review cycle?

Review Cycles allow you to create performance reviews in bulk, based on a specific timeline. Use the below example to configure yours. 


Go to Performance > Config > Review Cycles. Click Create New. 


Fill in the Cycle Details tab as follows: 


Review

Which template should be used to create reviews? 

Select a Review Template from the dropdown, if you have not created one yet go back to Config and set one up.


What should the review title be? 

This is the title of each person's performance review, so you may wish this to be something like "Emma Green's annual review". You can use the placeholders provided to insert dynamic text (which will populate per employee). 


Schedule

Status

Set this to Active if you want the review cycle to trigger immediately, or Inactive if you want to set it up and come back later.


How often should reviews be created? 

Select from: monthly, quarterly, biannually (every 6 months) or annually


Which date should the review cycle initiate from? 

Choose from employment start date, probation pass date or Custom. 


If custom, select the date. 


TOP TIP
This is usually the day after the last day of your review period. For example, if your review cycle triggers annually and the period of review is 1st July 2024 - 31st June 2025, the custom date here should be 1st July 2026. Or if you run reviews on a 6 monthly basis, from 1st April 2025 - 30th September 2025, the date would be 1st October 2025. 

 

When would you like the Reviews to be created? 

Choose the number of days before or after the date you've selected in the above step. This is the date that review notifications will be sent out. 


Assign

Assign this cycle to all employees? 

Select Yes or No. If you select No, you can configure specifically who the review goes to later on.


Employee Assessment

Auto initiate employee assessment? 

Tick this box if you would like the review cycle to email employees automatically. If unticked, managers will be notified of the reviews and will need to send employee assessment requests manually. 



Assign To

If you've selected No in the Assign section, a new tab will appear at the top of the page. Here you can configure specific employees or teams that the review will go to. 


TOP TIP
If you want to set up the review for all employees except a small group (e.g. senior leadership or C-Suite), select All Employees in the Assignment Rules tab and then head to the Exclude List to determine who to not include.
